Bookings and Payment:
A deposit of 50% of the tour price is required to secure any booking and is payable to African Vacation. Final payment is due no later than six weeks prior to arrival. If you do not pay in full six weeks prior to arrival, African Vacation reserves the right to cancel your booking and forfeit the deposit by way of cancellation charge. Full payment is due immediately for all bookings made less than six weeks prior to arrival. Full documentation can only be released upon receipt of final payment. Payments and cancellation fees may differ from individual product to product these will be forwarded to the client upon making the reservation and before the booking is confirmed.
Cancellation Fees:
The following fees will be charged for cancellation:
• More than six weeks prior to arrival – 30% of the tour price.
• Between six weeks and four weeks prior to arrival – 50% of the tour price.
• Between four weeks and two weeks prior to arrival – 75% of the tour price.
• Less than two weeks prior to arrival – 100% of the tour price.
• We strongly advise you to take out comprehensive insurance covering cancellation fee
Cancellation By Client:
Any notification of cancellation by telephone must be confirmed in writing or by email by the person who made the original booking. Cancellation will take effect from the day we are notified in writing.
Amendment Fee:
Should a confirmed booking be amended and costs are incurred, these costs will be for the client’s account.
Prices:
The prices quoted and published by African Vacation are valid as at the time of enquiry. Increases as a result of currency fluctuation, taxes and other factors beyond African Vacation’s control can arise, surcharges will be made to cover such increases.
Price Guarantee:
Upon receipt of final payment, African Vacation will guarantee the price of ground arrangements.
Liability of African Vacation:
African Vacation acts only as an agent for the principals and accordingly can accept no liability for any damage or loss that a client may suffer as a result of failure of the principals to fulfil their obligations. The client, dependants, heirs, executors and administrators cannot hold African Vacation or any person acting for, through or on behalf of African Vacation responsible for any loss, damages, accidents, delays, death or any inconvenience to any person, or his or her luggage or any other property which may arise as the result from the negligence of African Vacation or their principals.
Cancellation by African Vacation:
African Vacation reserve the right to and shall be entitled to cancel any tour or product sold prior to departure, and in such case African Vacation shall be obligated to refund all amounts received by them to that time by the client, who shall have no further claim whatsoever against African Vacation arising out of such cancellation.
Travel Insurance:
African Vacation strongly advises the client to take comprehensive travel insurance covering cancellation, curtailment, medical, emergency travel and personal accident. Insurance for loss of baggage, money or personal items is recommended. The client accepts that it is his/her responsibility to arrange insurance.
Clients Responsibility:
The client must agree to abide by the rules and regulations of each country visited during the safari.
Travel Documents and Visas:
All travel documents and visas are the responsibility of the client and must be checked by the client prior to departure to ensure they are valid. Any costs incurred should visas or travel documents not be accepted are for the clients account.
Insurance and Health Requirements:
The client must be in possession of adequate travel and medical insurance. The relevant inoculations and vaccinations required to visit the country of destination are the responsibility of the client. Any costs incurred should the client not have the correct inoculations and vaccinations are for the clients account.
Unscheduled Extensions/Breakaways:
All expenses (hotel accommodation, cancellation fees etc) in relation to unscheduled extensions due to flight delays, bad weather, strikes or any other causes beyond the control of African Vacation will be for the clients account. Unused services caused by delays will not be refunded.
